Assigning dates to order items allows you to track tasks vis the Overviews > Orders tool in Realhub.
When creating orders from a campaign quote, you can assign dates to all order items on the quote at once, rather than adding the date to individual items via the Pending Orders page.
This helps to streamline processes and improve visibility of tasks as they need to be done.
To assign item dates in bulk, you'll need to first create your vendor quote. See Creating a new vendor marketing (VPA) quote for help on how to do this.
Once you have created your vendor marketing quote, to assign dates to items:
- Click the Cog icon on the quote then select Assign Item Dates
- The Assign Dates side modal will list all applicable order/quote items, allowing you to add dates to all or any items you'd like to track through the Overviews > Orders tool
- The All Items Required ASAP toggle at the top of the modal will assign today's date to all order items
- Individual items can then be changed/overridden as required
- Click Apply Changes to apply the dates to the items
NOTE:
- Item dates are not required/mandatory, you can add dates to all or only some of the items
- Newspaper/Publication order items are excluded from the bulk assign. These orders will have dates applied based on the Campaign Start date you choose when Approving your quote.
Applying Item Dates as part of the Approval Workflow
Agencies can have the Assign Item Dates workflow triggered whenever a quote is Approved to streamline the process.
When the Agency Admin setting for Assign Item Dates on Approval is set to yes, the assign dates modal above will appear for users when they Approve a quote, so you don't have to remember to do it on every quote. The date field will still be optional for all order items.
