Managing your vendor marketing Quote Templates

Modified on Tue, 12 Mar, 2024 at 10:17 AM

Vendor campaign quote templates are a great way of applying a standardised quote to a property campaign. Once applied, the campaign quote can then be adjusted as required.

Quote templates help to ensure consistency of quotes across all your agents’ campaigns and also (more importantly!) make the quoting process more efficient. By using quote templates, your team can create a vendor marketing quote for a campaign / appraisal in seconds.

Quote Templates can be created in two ways:

  • By saving an existing quote on a campaign as a template
  • From scratch within Agency Admin

Creating a Quote Template - Option 1

The easiest way to first create a quote template is to us a campaign where you’ve already created what you need for your quote template.

From an existing quote within a campaign, click the cog button and then Save as Template:

The saved template will then appear for you to later manage within Agency Admin > Quote Templates.

Creating a Quote Template - Option 2

You can also create a quote template from scratch directly in Agency Admin.

  1. Go to Agency Admin > Quote Templates
  2. Click Create
  3. If you work across multiple offices, select the relevant office for your quote template
  4. Name your template and choose quote template settings, including assigning specific users if required
  5. Click Create Campaign Quote Template
  6. Click into the quote template name you’ve just created
  7. Build and customise the quote template as required

Managing Quote Template Settings

Realhub allows you to control various settings of vendor quote templates to help you achieve consistency in quoting regardless of agent / user.

For example, you may require the sections & order of your quotes to be locked down for all campaigns, or you may not allow agents/users to override vendor prices or add custom items to quotes.

There may also be instances where a quote template should only be available to specific agents within your agency.

These scenarios can all be managed at quote template level.

  1. Go to Agency Admin > Quote Templates
  2. Select the quote template you need to adjust
  3. From the Tools module, click Edit Quote Details
  4. Adjust the quote settings as required.
    1. Lock Sections
Prevents users from being able to add, remove, re-order or change the settings of each section on the quote
    2. Disable Custom Items
Users will be able to add order items (linked to providers) but unable to add custom (miscellaneous / free text) items
    3. Disable Price Adjustments
Users will not be able to override the vendor price of order items
    4. Assign Users
You can assign the quote template to only be accessible for specific users. For example, Team Archie may have special permission to use an otherwise non-preferred supplier, or an agent may have their own portal subscription pricing.
  5. Once you have adjusted all settings as desired, be sure to click the Update Campaign Quote Template button.

Quote Template Tools

When editing a quote template, you can use the following in the Tools module as required.

  • Edit Quote Details
Change the name of your quote template together with settings as listed above
  • Recalculate Prices
Ensures prices on the quote template reflect the latest price on the price list
  • Duplicate Template
Duplicates the template so you can rename and make a slightly different version without starting from scratch
  • Archive Template
Archives the quote template to prevent future use by users

You can also change the data source for the quote template - this is the campaign the system uses to calculate any API pricing (e.g. Domain.com.au listing price) for the quote template.
