Managing agencies within your brand

Modified on Fri, 5 Apr, 2024 at 10:38 AM

From the help desk you can click on Agencies in the main navigation menu to access all offices within your network.

This will take you to the agencies list page. At the top of the list you will see Active and Inactive. Inactive will show agencies that were previously part of the brand but have shut down. On the right hand side there is a filter field. You can use this to search for the agency you wish to review. Once you have clicked on the agency title in the agencies list, this will take you to the Agency Relations tab for that agency.

Agency Login

To login as the agency, once you have clicked on the agency name you will land in the agency relations page and in the top right corner you will see the Login button. Clicking this will log you into the agencies overview dashboard. This login button will be present in both the agency relations tab as well as the agency details tab.

Agency Relations

The agency relations page will show you the configuration of that agency. On the left hand side you will see a sub page menu which will allow you to click on the relation which you want to review and you will be taken to the module on that page.

API Keys

At the top of of the list we have the API keys. These keys are assigned to users within the agencies and generally are used to authenticate into Realhub from another platform. Eg. CRM, AIM, Engage. You will see that as a brand admin you have the ability to create, manage and delete api keys.

Tip: Please be aware that editing or deleting API keys can lead to issues for your agency users in accessing Realhub. If you edit an API key, please ensure you supply the new API key to the platform labelled against the key.

Bundles

The bundles modules shows you the bundles that are currently assigned to the agency. Changes to bundles need to be requested with Realhub Support.

Deadline Groups

A deadline group handles deadlines that differ to the standard deadlines the provider offers. This is generally due to the distance of the provider from the agency and the type of collateral the agency orders. Changes to deadline groups need to be requested with Realhub Support and will require approval by the provider.

Packages

The packages modules shows you the packages that are currently assigned to the agency. Changes to packages need to be requested with Realhub Support. Packages can be hidden by logging in as the agency and going to the Agency Settings. From there the package can be marked as hidden from the agency when they are creating a quote or ordering a new item.

Providers

The provider modules shows you the providers and price lists that are currently assigned to the agency for each service. Changes to providers and/or price lists need to be requested with Realhub Support.

Publications

The publications modules shows you the publications and providers that are currently assigned to the agency. Changes to publications need to be requested with Realhub Support.

Users

The users modules shows you the users that are currently assigned to the agency. As a brand admin user, you have the ability to create a new user, manage existing user’s details and adjust the association of the user (change the agency they reside within).

To create a user, click on the create user button in the bottom right of the modal.

This will bring up the create user side modal where you will be able to select the role of the user and input the users contact details. Once all required fields are filled in, the Create User green button will appear at the bottom of the side modal.

Once users have been created and showing in the list, you can use the Show Filters button in the top right of the module to help you find the user you would like to adjust or review. Click Show Filters, enter the name, email or username to search for, then click Apply Filters.

Once you have located the user you would like to adjust or review, click on the arrow on the right hand side next to their mobile number and role.

You will land on the edit user page where you can update the contact details, API keys and association, then click save.

Tip: Please be aware that editing or deleting API keys can lead to issues for your agency users in accessing Realhub. If you edit an API key, please ensure you supply the new API key to the platform labelled against the key.

When you are finished editing this user, click on the back button in the top right of your page. This will take you back to the agency relations page.

Agency Details

The agency details page will show you all the information gathered and inputed at the time of setting up the agency. If you need to adjust any of the information, click the input text fields to edit the text.

Once you are done click save details at the bottom of the screen.
